How it works

Eight steps, each with a gate that can refuse.

The workflow is enforced on the server, not in the interface. A deal cannot skip a step by being clicked through, and a gate that fails says which condition failed and what would satisfy it.

From RFQ to outcome

    The RFQ arrives

    Upload the document or paste the request. AuroWin extracts what it can into the Deal Passport and marks the rest as unknown. Every extracted value keeps a link back to the source it came from.

    The gate. Nothing is marked confirmed by extraction alone. A relative deadline like "within three business days" is resolved to a real date, and if it cannot be, it stays unknown.

    The gaps are ranked

    AuroWin compares the Passport against what a sound quoting decision needs, and ranks what is missing by how much it changes the answer — not by how easy it is to ask.

    The gate. A deal cannot move to assessment while information the decision depends on is still missing.

    The interview fills them

    Short, specific questions, one at a time, each aimed at one field. Answers are classified by where they came from — the customer said it, you observed it, someone else reported it — and written back to that field.

    The gate. Approval is refused while any question is still pending, and the refusal names the question. "I don't know" is a valid, recorded answer, not a blocked one.

    The deal is assessed and priced

    Ten factors are scored from recorded evidence. Three pricing scenarios are computed on the server — protect margin, balanced, competitive — each showing its price, cost, profit, margin, discount, the supplier support it assumes and the approval it would need.

    The gate. No scenario may sit below your approved floor without an explicit, recorded exception. The calculations never come from a language model.

    The Win Plan is written

    Two strategies and a no-bid option, each with the actions that would change the outcome, the supplier support to request now rather than later, and a red-team challenge to its own reasoning.

    The gate. Where your history is too thin to compare against, AuroWin says so in those words rather than producing a comparison it cannot support.

    Approvals and the Ready-to-Quote gate

    Exceptions route to the right role by threshold. The gate checks nine conditions and shows exactly which pass and which fail.

    The gate. It fails closed. A missing approval, an invalid cost, an unresolved critical warning — any one of them holds the quotation.

    The quotation is assembled

    Every figure is recomputed from the Passport at the moment the document is opened, so a stale stored number cannot reach a customer. Communication drafts are prepared for a person to review.

    The gate. AuroWin sends nothing. Releasing a quotation records that a named person is cleared to send it themselves.

    The outcome is recorded and reused

    Won or lost, at what price and what margin, against whom, and why — with the customer's stated reason and your rep's interpretation kept as two separate claims, flagged when they disagree.

    The gate. A lesson becomes organizational memory only when it cites enough deals across enough accounts, and only when someone other than its proposer approves it.

What happens when there is not enough information

This is the case that separates a decision tool from a generator of confident text.

When your company history is too thin to reason from, AuroWin states that the recommendation is based on the current deal and your configured sales rules — rather than presenting a comparison it cannot support.

It never fabricates a comparison

Similar-deal retrieval only ever returns deals from your own organization. A deal belonging to anyone else is discarded even if a query somehow returned it, and that behaviour is covered by a test.

Unknown is a real answer

A rep who does not know something records that. It becomes a visible gap and, where useful, a follow-up task — instead of a guess that later reads as a fact.

A failure never loses your work

If an AI step times out or returns something unusable, what you entered is kept, the problem is explained plainly, and you can retry or carry on by hand. The deterministic path always remains available.

Starting from nothing

A new customer has no deals, no history and no imported data. That is a supported starting point, not a degraded one.

Onboarding takes six steps: your organization, your pricing policy, your sales methodology, an optional data import with downloadable templates, an optional team invitation, and your first deal. The two optional steps can be skipped outright — you can be working a live RFQ without importing a single historical record. AuroWin will simply tell you where it lacks history rather than filling the gap with something invented.
